Personal Information and Protection of Privacy
EAGLE is committed to protecting the privacy of any personal information regarding our members, donors, supporters, volunteers, employees and other stakeholders.
In the cause of meeting our mandate, we do gather and use personal
information by consent only, and recognize that this imposes a grave
responsibility to guard that information and to be transparent and
accountable in how we deal with that information.
1. PERSONAL INFORMATION: Personal information is deemed to be any information that can be used to distinguish, identify or contract a specific individual, with the exception of publicly available information, such as names, address, telephone numbers and other electronic communications that are published in telephone and other similar directories. Business contact information, including where home contact information is used as business contact information, is also not subject to protection as personal information.
2. COLLECTION: EAGLE limits the collection of personal information to that which is necessary for the purpose, which shall be identified. Furthermore, EAGLE collects personal information only by fair and lawful means.
2. OBTAINED CONSENT: We collect, use and disclose personal information only for the purposes that are identified, reasonable and appropriate for the circumstances. When speaking with individuals with whom we transact, we routinely identify the purpose, as well as inform and offer opportunity not to have information used for any purposes beyond those for which it has been collected originally.
3. SECURITY SAFEGUARDS: All such personal information gathered by EAGLE is kept in strict confidence. Safeguards and protocols are in place to ensure that said information is not disclosed or shared more widely than is necessary to achieve the purpose for which consent has been received. EAGLE protection includes working to ensure the integrity of the information is maintained and kept in accordance with retention guidelines, after which it is appropriately destroyed.
4. ELECTRONIC SAFEGUARDS: Electronically stored information is protected through a combination of regularly reviewed procedures, currently applicable software and application of database password protocols. EAGLE maintains restricted access to both physical storage files and electronic files.
5. PRIVACY OFFICER: An EAGLE staff member has been designated as Privacy Officer and provides leadership and guidance as regards the privacy programme. The Privacy Officer reports to the EAGLE Board of Directors on an annual basis with an audit of adherence to EAGLE’s Privacy Policy and any appropriate legislated requirements.
6. ACCESSIBILITY & RESPONSE: EAGLE shall make readily available to our stakeholders information relating to the management of personal information. Individuals from whom we may have collected personal information may have access to that information upon request and amend it accordingly if appropriate for accuracy. EAGLE undertakes to respond promptly to any questions or concerns regarding this Policy and/or use of personal information.
